Out-of-the-box statuses

Statuses are used to reflect the life cycle of resources. The following table contains out-of-the-box statuses. You can also use them in your workflows.

Tip In the latest UI, in the Statuses table in the Operating Model settings:
  • You can find which asset types use a specific item by selecting the row containing the item and then clicking Used In.
  • The System Managed column in the UI indicates whether the item is provided out of the box (OOTB) and managed by Collibra. All system-managed items are OOTB, but not all OOTB items are system-managed.
    • Green check icon means that the item is OOTB.
    • Red close icon means that the item is either custom-created or an editable OOTB item.

Accepted
  • The stewards approved an asset definition.
  • The technical stewards are granting the requested access.
  • The reviewer is appointing an assignee to resolve an issue.

An asset enters the Accepted status at the end of the Approval and Simple Approval workflows.

A Data Usage asset enters the Accepted status when the approvers, who are the owners of the resources in an access request, approve the request in the Request Assets Access workflow.

An Issue asset enters the Accepted status after the stewards approve its proposed solution. At this stage of the Issue Management workflow, the reviewer either appoints an assignee or marks the issue as resolved.

Access Granted The requester is granted access to the requested resources. The requester is assigned a Data Analyst Level 2 role for the newly granted resources, as the final step in the Request Assets Access workflow. 00000000-0000-0000-0000-000000005024
Approval Pending The approvers are voting for the approval of a data usage request. A Data Usage asset enters the Approval Pending status during the voting sub-process of the Request Assets Access workflow. 00000000-0000-0000-0000-000000005023

The initial status of a workflow. This is a system status, and it can't be deleted.

The workflow is currently not in use. This is a system status, and it can't be deleted.

The workflow is currently active. This is a system status, and it can't be deleted.

Implemented

The Implemented status has a different meaning depending on where it is used.

Assets integrated into the Data Catalog from sources such as Databricks initially have the Implemented status. S3-integrated assets, however, have the Candidate status. This status is also used for Review Request assets in Data Privacy.

In Progress The assignee is solving the issue. This status is used in the Issue Management workflow. 00000000-0000-0000-0000-000000005019
Invalid

The reviewer rejected an issue. This is also the initial status of a Data Usage asset.

Reviewers can reject invalid issues in the Issue Management workflow. Newly created data usage requests have the Invalid status in the Request Assets Access workflow.

Under Review
  • The stakeholders are reviewing an asset.
  • The reviewer is analyzing an issue and proposing a solution.

An asset enters the Under Review status once subject matter experts approve its definition. It remains in this status until it is accepted in the Approval workflow. In the Simple Approval workflow, there is no intermediary status.

In the Issue Management workflow, an issue enters the Under Review status after it has been submitted or rejected by stakeholders, that is, when a reviewer is analyzing the issue.
